From a stranger's Instagram profile to a sent proposal: the exact 4-stage flow

Stage 1: Qualify before you reach out
The instinct most people have is to message everyone. The workspace pushes back on that with a short qualification checklist before any outreach is sent:
Has this business posted or been active in the last 30 days?
Is there a visible, specific gap - slow response times, outdated content, no online booking, weak product photography?
Is there any signal they can actually afford help - team size, ad spend, store count, pricing tier?
A lead that fails all three gets skipped. This isn't about being precious - it's that personalised outreach to a qualified lead converts meaningfully better than generic outreach to anyone with a pulse, and qualifying first protects your limited time each day.
Stage 2: Send a personalised opener, not a pitch
This is the part most people get wrong, including us in our earlier years. The Outreach Vault has more than 50 scripts split by platform and niche, but none of them work as a copy-paste-send. Every script follows the same underlying structure:
[One specific, researched observation about their business] + [one open question]
That's it. No "I am a digital marketing expert with 3 years experience" - that line, sent identically to fifty people, reads exactly like what it is. A message that references something real and current about their business - a recent post that underperformed, a missing feature competitors have - reads like it came from a person who actually looked.
Stage 3: Follow up on a fixed schedule, not a feeling
Most outreach dies after one message with no reply. The system has three pre-written follow-up touchpoints, each with a different job:
Day 3 - a soft, low-effort nudge. No new pitch, just visibility.
Day 7 - adds a small piece of value, like a specific observation or free tip relevant to their business.
Day 14 - the "breakup" message: polite, low-pressure, explicitly the last message in the sequence. Counterintuitively, this message often gets the highest reply rate of the entire sequence, because it removes any sense of being chased.
Following this fixed schedule matters more than the exact wording - most people simply stop after one unanswered message, and that's where the majority of recoverable replies are lost.
Stage 4: When they reply, send a proposal that frames ROI
Once someone responds with interest, the workspace's proposal template avoids the common mistake of leading with a service list and a price. It follows this structure instead:
The problem they're facing, stated in their own words from the conversation → the solution mapped directly to that problem → the expected outcome, described concretely → the investment, framed against that outcome → a single clear next step.
Leading with outcome before price changes how the number is read. A price by itself invites comparison shopping; a price attached to a specific expected result invites a decision.
What this flow does not include
To be direct about it: nothing in this sequence sends a message automatically, finds a lead automatically, or replies on your behalf. Every step - research, message, follow-up, proposal - is something you do, using the script and structure as scaffolding rather than doing it from a blank page.
